Registration guidelines

  • Registrations for presenters of accepted papers and for panelists in Science-Policy-Business Sessions
    Opening: 25th March 2025 (in-person only)
    Deadline: 30th April 2025 - deadline by which presenting authors must be registered for inclusion in the programme
     
  • Registrations for ALL other participants
    Opening: 15th April 2025 (in-person and online)
    Deadline: 13th June 2025 (PLEASE NOTE that registrations for in-person participation may close earlier. Registrations will close when the maximum capacity is reached. Registration is on a first come, first served basis.)

The Conference will take place in person, with a portfolio of online events as part of the programme. Presentations will be held exclusively in person: all presenters must attend in person (remote presentation is not foreseen). Only panelists in Science-Policy-Business Day can present remotely if previously agreed with the Programme Committee. 

Online participation is available to attend plenary, thematic, and Science-Policy-Business sessions in streaming mode.

Registration is required for both in-person and online participation.

This year the Conference venue can accommodate a maximum of 800 participants. A Science-Policy-Business Day will be held on Monday, 16th June: a special daily pass is available just to attend this day (the regular registration fees include the access for Monday, 16th June).

The registration will be organised as a two-step process, prioritising presenters of accepted papers. Each accepted paper is presented by one person only. A first round of registrations will be open to presenting authors only and will be followed by a second round of registrations open to all. Registration for in-person participation will close when we reach maximum capacity.

30th April 2025: deadline by which presenting authors must be registered for inclusion in the programme

13th June 2025: registrations close (registrations for in-person participation may close earlier when the maximum capacity is reached)


IN-PERSON PARTICIPATION

Presenting authors must register between 25th March and 30th April 2025. All other participants can register from 15th April 2025.

Registration Fees (In-Person Participation)

EAERE members register for the conference at special rates. If you want to benefit from the special rates reserved to EAERE members, please renew/activate your EAERE membership first. The conference registration fee, bundled with the membership fee, is not available this year. 

Fees are VAT included.

Description of Registration Categories

  • Registration fee without conference dinner: Includes access to all sessions (including the SPB Sessions on Monday, 16th June), coffee breaks, lunches and welcome reception. The conference dinner is NOT included.
  • Registration fee with conference dinner: Includes access to all sessions (including the SPB Sessions on Monday, 16thJune), coffee breaks, lunches, welcome reception AND Conference dinner. Note that registration for the conference dinner is subject to availability.
  • EAERE member: EAERE members in good standing in the calendar year 2025. You need to join EAERE first in order to be eligible for this category.
  • EAERE member at reduced fee*: The category includes EAERE members in good standing in the calendar year 2025 AND entitled to a reduced membership fee*.

Reduced fee. A reduced fee applies to:

  • students;
  • residents in low-income, lower-middle-income and upper-middle income economies, following the World Bank classification.

Accompanying Persons

Accompanying persons can be registered by conference participants during the registration process.
Accompanying persons’ registration includes access to the welcome reception. Access to sessions, coffee breaks and lunches is not includedThe conference dinner is included for those who pay for the conference dinner. Note that registration for the conference dinner is subject to availability.

EAERE membership in the year 2025 is a requirement to attend the Conference online. Non-members are requested to join EAERE before starting the Conference registration process.

PROMOTIONAL CODES

Specific participants will be sent by the Conference Organisers a promotional code before registration. These participants should register by entering their promotional code in the registration form. Participants who were not sent a promotional code should simply state that they do not have a promotional code at the beginning of the registration process.


PAYMENTS

The payment of the registration fee can be done as follows:
• Credit card (Visa, Mastercard/Eurocard) on the registration platform;
• Bank Transfer. Please transfer the payment to AIM Italy Srl

Please state the name of participant and EAERE2025 in the subject (reason for payment) of the bank transfer and send a copy by email at eaere2025.reg@aimgroup.eu within 72 hours.

Registration is considered confirmed only upon receipt of payment.

AIM Italy will automatically issue and send invoices to all participants with confirmed and registered payment by email, as per regulation on incoming payments.

All payments need to be settled in advance of the Conference, in agreement with settled deadlines.


CANCELLATION POLICY

Registration fees will be refunded only if cancellation is received in writing at eaere2025.reg@aimgroup.eu by 5th May 2025.
For cancellations received after 5thMay 2025, no refund will be provided.

In case of failed visa applications, there will be a reimbursement of the fee against appropriate documentation.

There will be no refund for no-shows.

In the case that the Organisers of the event are unable to deliver it in the format originally envisaged (hybrid format, with in-person and online participation) and are forced to hold the event in a fully online format or to cancel it permanently, due to acts of God, an outbreak of severe contagious epidemic preventing the organisers from running the event, war, civil commotion, fire, flood or other casualties, major strikes, labour difficulties, shortages of labour, materials or equipment, government regulations, unusually severe weather, or other causes beyond its reasonable control, the Organisers shall not be liable to any other party for any damages resulting from this situation, and shall not refund registration fees. In the event of an in-person conference cancellation, the Organisers will use their best efforts to move the event fully online and provide presentations remotely.
